When we collect information through our website or manage business enquiries, we are usually a data controller. When a care home sends staff compliance records for a review or ongoing service, the care home will usually remain the data controller and Care Oversight Partners will act as a data processor.
We may collect contact details such as name, role, organisation, email, phone number and message content. For workforce compliance reviews, we may process staff names or initials, roles, training dates, DBS status, right-to-work evidence status and relevant compliance notes.
We do not normally need home addresses, national insurance numbers, medical details, bank details or other unnecessary personal information for the initial review.
We use information to respond to enquiries, provide 48-hour reviews, deliver ongoing workforce compliance oversight, produce reports and manage client relationships. We do not sell personal information.
We may use secure third-party tools such as email, form, cloud storage, IT and accounting providers where needed to run the service. We aim to use appropriate safeguards and access controls.
We keep information only for as long as needed for the purpose it was collected. Staff compliance records provided for a free review may be deleted after the review period unless the care home becomes an ongoing client or asks us to retain them.
Depending on the circumstances, individuals may have rights to access, correct, erase, restrict or object to processing of personal information. If we act as processor for a care home, we may refer requests back to the care home as controller.
